Job Summary:

The Executive Assistant provides high-level administrative, operational, and logistical support to senior executives. This role is responsible for managing complex schedules, coordinating travel arrangements, handling confidential information, and ensuring the smooth execution of executive priorities.

Responsibilities:

  • Manage and optimize executives’ calendars, scheduling meetings, appointments, and events while prioritizing business-critical activities.
  • Coordinate domestic and international travel arrangements, including flights, accommodations, transportation, visas, and travel documentation.
  • Prepare meeting agendas, presentations, reports, and briefing materials for executive meetings.
  • Screen, prioritize, and respond to emails, correspondence, and communication on behalf of executives when appropriate.
  • Organize and coordinate internal and external meetings, conferences, and corporate events.
  • Track expenses, manage expense reports, and support budget monitoring activities.
  • Maintain confidential files, records, contracts, and executive documentation.
  • Liaise with internal departments, clients, vendors, and business partners to ensure effective communication and follow-up.
  • Monitor action items arising from meetings and ensure timely completion by relevant stakeholders.
  • Manage office logistics and administrative tasks to ensure efficient daily operations.
  • Assist with special projects, research activities, and executive initiatives as assigned.

 

Required Skills:

        • Strong experience in calendar management, executive scheduling, and meeting coordination.
        • Excellent organizational and time-management skills with the ability to manage multiple priorities simultaneously.
        • Strong verbal and written communication skills in English and Arabic.
        • Ability to handle highly confidential information with discretion and professionalism.
        • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
        • Strong problem-solving skills and the ability to work independently in a fast-paced environment.
        • Excellent stakeholder management and interpersonal communication skills.
        • Ability to coordinate complex travel arrangements and itineraries.
        • Experience using travel reservation systems such as Galileo and Amadeus.
